If you have any questions or concerns about this Privacy Notice or how we use personal information, please contact us at park@exetervaletportparking.co.uk.

We use reasonable technical and organisational measures to protect personal information.
No internet transmission or information-storage system can, however, be guaranteed to be completely secure.

In Short: We collect personal information that you provide when using our Services.
The information we collect depends on how you interact with us and may include:
We do not intentionally collect or process special category personal information as part of our normal Services.
Payments are processed using Stripe.
When you make a booking, Stripe processes the payment-card information required to complete your payment.
Full payment-card numbers, card security codes (CVV) and similar payment authentication information are handled by Stripe and are not sent to Google Analytics, Google Tag Manager or Google Ads through our website tracking setup.
ParkFlow is used to create and manage parking bookings and processes booking and customer information required to provide the booking service.
Information about a booking may also be used for advertising measurement as explained in Section 4 of this Privacy Notice.
In Short: Certain technical and usage information may be collected automatically when you visit or use our website.
This may include information such as:
We may use this information for website operation, security, analytics, reporting and advertising measurement.
We also use cookies and similar technologies as explained in Section 4.
We may process approximate location information derived from technical information such as your IP address.
We do not use the website to request precise GPS location information unless a feature specifically requires this and you have been informed at the time.
We may receive limited information from third-party providers involved in providing our Services.
For example, this may include booking-related information from ParkFlow, payment status or transaction information from Stripe, vehicle inspection information from FocalX and analytics or advertising information from Google.
In Short: We process personal information where necessary to provide our Services, operate our business, measure performance, protect our interests and comply with legal requirements.
We may process personal information for the following purposes:
We only process personal information where we have a lawful basis for doing so under applicable data protection law.
Depending on the purpose, we may rely on:
Contract — where processing is necessary to take steps at your request or to provide and manage your parking booking and associated Services.
Legal obligation — where processing is necessary to comply with legal, tax, accounting, regulatory or other legal requirements.
Legitimate interests — where processing is necessary for our legitimate business interests and those interests are not overridden by your rights and interests.
These interests may include operating and protecting our business, maintaining service quality, documenting vehicle condition, resolving damage or service disputes, analysing business performance and improving our Services.
Where limited cookieless measurement information is processed without optional advertising or analytics storage, we may rely on legitimate interests where appropriate, subject to an assessment of the rights and interests of individuals.
Consent — where you have given us permission to use optional analytics or marketing technologies, including Google Ads Enhanced Conversions where applicable.
You may withdraw consent at any time.
In Short: We use third-party providers to support specific parts of our Services.
Depending on the service being provided and the applicable contractual arrangements, a third party may process personal information on our behalf or may process information for its own purposes in accordance with its applicable terms.
We only share personal information where it is necessary for the purposes described in this Privacy Notice or where otherwise permitted or required by law.
Third-party services relevant to our Services include:
ParkFlow — used to create and manage parking bookings and associated customer information.
Stripe — used to process payments and payment-card information.
Google — used for Google Tag Manager, Google Analytics 4, Google Ads conversion measurement, Enhanced Conversions and Google Consent Mode.
FocalX — used to create and manage digital vehicle condition inspections and assist with identifying and recording vehicle damage.
OpenAI — used through ChatGPT to support business analysis, reporting, summarisation, administration and analysis of website, advertising, booking and operational information.
Where personal information is processed using ChatGPT, we aim to limit the information submitted to what is reasonably necessary and, where practical, remove or reduce direct identifiers.
We do not intentionally submit full payment-card details, card security codes or other payment authentication information to ChatGPT.
These providers may process technical, usage, booking, vehicle or customer information depending on the service being used.
We may also share information where necessary in connection with a business sale, merger, financing, restructuring or transfer of all or part of our business.
In Short: We use cookies and similar technologies for website functionality, analytics, advertising measurement and advertising optimisation.
We use a consent-management system to allow visitors to control optional analytics and marketing technologies.
We use Google Consent Mode to communicate those choices to Google and adjust how Google Analytics and Google Ads behave depending on the visitor’s consent status.
We use Google Analytics 4 to understand how visitors use our website and to measure website performance.
Depending on your consent choices, Google Analytics may process information about your browser or device, pages visited, interactions with our website and other technical or usage information.
Where analytics storage has not been granted, Google Consent Mode prevents Google Analytics cookies from being read or written.
Google may instead receive limited cookieless measurement signals for measurement and modelling purposes.
We use Google Ads conversion tracking to measure whether our advertising results in parking bookings and to help understand and improve advertising performance.
A Google Ads conversion is recorded when ParkFlow successfully creates a booking.
This means the advertising conversion may be recorded before payment through Stripe has been successfully completed.
Information associated with the conversion may include:
This information helps us measure advertising performance, attribute bookings to advertising interactions and optimise our Google Ads campaigns.
Where you have consented to marketing technologies, we use Google Ads Enhanced Conversions.
Enhanced Conversions use customer information provided during the booking process to improve conversion measurement and advertising attribution.
The email address supplied during the ParkFlow booking process may be used for this purpose.
The original email address exists in readable form as part of the booking process and may temporarily be available within the browser and website data layer.
Before Enhanced Conversion information is transmitted to Google, the email address is processed using a one-way hashing process.
Google therefore receives a hashed representation of the email address through the Enhanced Conversion transmission rather than the readable email address.
Hashing is a form of pseudonymisation and should not be considered anonymisation.
Google may compare the hashed value with corresponding hashed information held by Google to help determine whether a booking followed an interaction with Google advertising.
We use this information for advertising measurement, attribution and campaign optimisation.
If you decline marketing technologies, advertising storage and the sending of user-provided advertising data to Google remain disabled.
In this situation, the hashed email address used for Enhanced Conversions is not transmitted to Google through our Google Ads conversion tracking.
Google Ads tags may still send limited cookieless measurement signals under Google Consent Mode.
These signals may include information about the consent state and limited technical information associated with the website interaction, but they do not include the Enhanced Conversion email information.
Google may use these limited signals for measurement and conversion modelling.
You can change or withdraw your consent choices at any time using the Manage Consent option on our website.
In Short: We use FocalX to support digital vehicle condition inspections.
As part of our valet parking service, we may create a digital condition record of your vehicle when it is handed over to us and/or returned to you.
We use FocalX, a third-party vehicle inspection platform, to support this process.
The inspection may involve taking photographs or digital scans of the exterior of the vehicle and using automated image-analysis technology to assist with identifying and recording the vehicle’s condition and any visible damage.
Information processed through FocalX may include:
We use this information to:
FocalX may use subprocessors and technical infrastructure providers in order to provide its services.
Vehicle inspection images and condition information are not used by us for Google Ads Enhanced Conversions.
In Short: We keep personal information only for as long as reasonably necessary for the purposes for which it was collected or where a longer period is required by law.
When determining retention periods, we consider:
When we no longer have a legitimate reason to retain personal information, we will delete or anonymise it where reasonably possible.
Information processed by third-party providers such as ParkFlow, Stripe, Google, FocalX and OpenAI may also be retained in accordance with the settings, agreements and terms applicable to those services.
Some of the third-party providers we use may process or store personal information outside the United Kingdom.
Where personal information is transferred internationally and UK data protection law requires safeguards for that transfer, we take steps to ensure an appropriate transfer mechanism is in place.
Depending on the circumstances, this may include relying on UK adequacy regulations or contractual or other safeguards recognised under UK data protection law.
You may contact us if you would like further information about the safeguards applicable to a particular provider or international transfer.
In Short: We use appropriate technical and organisational measures designed to protect personal information.
We take reasonable measures to protect personal information against unauthorised access, use, alteration, disclosure or loss.
However, no electronic transmission over the internet or information-storage technology can be guaranteed to be completely secure.
You should therefore only provide personal information through appropriate and secure channels.
In Short: We do not knowingly collect personal information from or market our Services to children under 18.
If we become aware that we have unintentionally collected personal information from someone under 18, we will take reasonable steps to delete the information from our records where appropriate.
If you believe we may hold information relating to someone under 18, please contact park@exetervaletportparking.co.uk.
In Short: UK data protection law gives individuals rights over how their personal information is collected and used.
Depending on the circumstances and the lawful basis being relied upon, these rights may include:
Not all rights apply in every situation.
Where we rely on your consent, you may withdraw that consent at any time.
Withdrawing consent does not affect the lawfulness of processing that took place before consent was withdrawn.
For cookies and similar technologies, you can manage or withdraw optional analytics and marketing consent at any time using the Manage Consent option available on our website.
Technologies that are strictly necessary for the operation or security of the website may continue to operate where permitted by law.
If you have concerns about how we use your personal information, please contact us first so that we can try to resolve the matter.
You also have the right to make a complaint to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection.
Further information is available at ico.org.uk.
Some browsers and devices include settings designed to communicate a preference not to be tracked online.
There is currently no single universally adopted standard for these signals.
Our primary mechanism for controlling optional analytics and marketing technologies is the consent-management system available on our website.
You can change or withdraw your consent choices at any time using the Manage Consent option available on our website or through our cookie settings.
We may update this Privacy Notice from time to time to reflect changes to our Services, technology, providers, legal requirements or business practices.
The latest version will show the updated date at the top of this Privacy Notice.
Where appropriate, we may also provide additional notice of significant changes.
